As a therapist, and coach, I take the protection of your personal data very seriously, in accordance with the General Data Protection Regulations (GDPR). These regulations ensure that your personal information is handled with care and respect. Under GDPR, you have the right to have your data corrected, erased, or restrict its processing when necessary.
Use and Processing of Personal Data
The personal information you provide during therapy is securely stored by Janine Holland, who acts as the Data Controller. In the event of her incapacity, her clinical supervisor may access this information to manage any ongoing referrals, ensuring continuity of care. Your casework may be discussed during clinical supervision to ensure you receive the highest quality of service and to maintain compliance with the ethical guidelines set out by the BACP (British Association for Counselling and Psychotherapy) and NCPS (National Counselling and Psychotherapy Society).
In certain situations, your personal data may need to be shared with third-party agencies, especially in cases where confidentiality must be breached for safeguarding purposes—such as when there is a risk of serious harm to yourself or others, including vulnerable individuals. Please rest assured that your personal data will never be sold to third parties.
Personal Information Collected
To provide effective therapy, I may need to collect certain personal and sensitive information, which could include:
- Your name, and if relevant, your partner’s name
- Address
- Email address and contact number
- Age, gender identity, and sexual identity
- Relationship history and status
- Ethnicity and religion
- Names and ages of your children
- Medication details
- Information regarding the difficulties you’re experiencing
- Financial information related to payment
Data Protection and Storage
Your personal and sensitive data is solely used to provide therapeutic services and is stored securely for seven years following the end of therapy, after which it is permanently destroyed. If at any point you wish to withdraw your consent to the processing of your data, you can do so by contacting Janine Holland via email at 3cscommunication.co.uk
You also have the right to request access to your personal information, ask for it to be corrected if inaccurate, or request its deletion with proper notice. Should you have any concerns regarding the processing of your data, you may first raise them with Janine Holland and, if necessary, escalate the matter to the Information Commissioner’s Office (ICO) at https://ico.org.uk/concerns/handling/ or by phone at 0303 123 1113.
I ensure that all your data is kept secure, whether stored in physical form in a locked cabinet or electronically, with password protection. Session notes, which are anonymised, provide a brief summary and do not include identifiable information.
Communication via Email
Sometimes, sensitive information may be shared with you via email in password-protected documents. For email counselling, while you are free to view, download, or store the information for personal use, redistributing or publishing it without prior written consent is prohibited.
Webcam Counselling
If you participate in therapy through webcam, we use Zoom, which is committed to GDPR compliance. While this may involve data transfer to the U.S., Zoom is part of the EU-US and Swiss-US Privacy Shield, ensuring your data remains protected.
